The Global Proposal Management team manages all aspects of proposal development and effectively works across the organization to obtain the information and content needed to deliver a compelling and compliant proposal. The team is responsible for ensuring that our customers and prospects receive compliant proposals on time, of high quality, compelling, visually stunning, and strategic. We are responsible for submitting responses to all RFI, RFP, etc. around the globe. We are part of a close-knit team of peers and teammates who support, help, and learn from each other.

 

The Associate Proposal Specialist role is key to Anthology's success in obtaining new and returning business with prospective and current customer partners through Requests for x (RFx), including Requests for Proposal (RFP), Requests for Information (RFI), and Requests for Quote (RFQ) activities. The proposal coordination and proposal response are often the first impressions an institution has of our company. First impressions set the tone of the relationship with our prospects and customers, and the Associate Proposal Specialist affects the first impression. Therefore, the coordination, tracking, and reporting of requests coming through the Proposal Management team are vital to our business. The position is a highly networked role that requires working under pressure and challenging deadlines.

 

The Associate Proposal Specialist is responsible for monitoring, tracking, and reporting several Key Performance Indicators (KPIs). 

 

Primary responsibilities will include:

  • Monitoring search engines to evaluate opportunities for potential product fit with the Anthology collection
  • Owning accuracy and tracking dates, statuses, and metrics related to Salesforce, security surveys, Freedom of Information Act (FOIA)
  • Managing the RFx Intake process to get the quickest response on bid decisions
  • Collecting, sending, managing, and communicating qualifying questions with the returned answers for the proposal's workflow
  • Creating timeline schedules for the proposal's workflow
  • Providing reporting metrics weekly and on-demand to C- and V-level executives
  • Submitting, tracking, and contributing to Freedom of Information Act requests (incoming and outgoing)
  • Maintaining document management standards by archiving
    • original proposal documents as received
    • final submitted proposal documents
    • FOIA requests documents (incoming and outgoing)
    • security surveys and Higher Education Community Vendor Assessment Toolkit (HECVAT) requests and responses

Pay range is $59,000 - $63,000/year depending upon experience. We use national and industry-specific survey data to assist in determining compensation. Additionally, we consider factors such as external market rate, budget for the role, and the compensation rates of current employees performing the same function. Some roles will have variable pay.
