Office Coordinator

Coffee Stain Studios is a video game company founded in Skövde in 2010. Since then, we’ve grown and are now part of a larger group of game development companies. Our focus is still on making great games, and we aim to do that as a team, while staying connected with our community.

We recently released Satisfactory in its 1.0 version after five years in Early Access. The game has already sold over 6 million copies and has been well-received by players!

At our office in Skövde, we are around 40 people, and it’s important to us that everyone feels involved and takes responsibility for their own work. We are now looking for an Office Coordinator to help maintain a welcoming workplace and environment.

About the Role

Do you want to be the one who ensures our workplace runs smoothly and that the atmosphere is always supportive and engaging? We are looking for a driven and social Office Coordinator who is passionate about creating an enjoyable work environment and making sure all the practical aspects of the office are in order.

In this role, you'll be responsible for everything from office operations and supplier contacts to organizing internal events and supporting the onboarding of new staff. You'll enjoy a varied day where your organizational and problem-solving skills will play a key role in keeping things running smoothly!

Key Responsibilities

  • Act as the main contact for landlords, tenants (we rent out a part of the office), property managers, cleaning services, coffee suppliers etc.
  • Manage internal and external communication to ensure information is shared and the office environment remains collaborative.
  • Oversee the daily operations of the office – ensuring that breakfast, fruit, coffee, etc. are always available.
  • Plan and execute internal events, conferences, and projects that promote a positive workplace atmosphere. This includes coordinating and decorating for holidays, seasonal events, and other activities that create a pleasant atmosphere.
  • Ensure that the office meets the employer’s workplace requirements while maintaining a comfortable, functional, and well-maintained environment for all employees
  • Participate in the onboarding process.
  • Administrative tasks related to the office and the team.

We are looking for someone how is

  • Independent and organized, but also enjoys working in a team.
  • Socially skilled, enjoys helping others, and pays attention to the small details that make a big difference.
  • Flexible and able to prioritize tasks efficiently.
  • Capable of juggling multiple tasks while maintaining calm and a positive atmosphere.

Previous experience

  • Previous experience in similar roles, such as office management
  • Bonus: Experience in event planning and personnel administration.
  • Basic knowledge of GDPR and sustainability reporting is a plus.
  • Capable and comfortable with speaking and writing in both Swedish and English.

Practical info

The position is initially expected to be between 75%, 30 hours per week on-site, with the possibility of increasing to 100%.

You will spend the majority of your worktime at our office on Hertig Johans gata in Skövde, but it´s okay to work from home from time to time.

At our office we have a casual workplace environment including bicycle parking, our own amazing in-office gym, game and chill-out zones. There are also plenty in-office hangouts and parties.  Our office is constantly supplied with breakfasts, snacks, fruits, tea and coffee to keep your energy up. 

You’ll be working with a friendly team that consists of both Swedish and International people.

Coffee Stain Studios is part of a family of several studios, creating a network of over a hundred talented game creators. We talk, throw parties, and support each other professionally. We like the combination of being a relatively small team in our studio combined with the gain belonging to a big, warm community, being able to share invaluable knowledge and experiences with our colleagues.
