The Document Controller will manage all documentation related to the construction of a data center, ensuring compliance with Microsoft specifications. Responsibilities include processing, maintaining, retrieving, and disseminating records; coordinating with contractors and vendors to correct discrepancies; preparing weekly reports; and maintaining the document management system. The role requires strong organizational skills and attention to detail, working closely with the project management team to ensure timely project delivery. This position demands strong communication and collaboration skills to maintain effective relationships with various stakeholders throughout the construction process.

Overview

As a construction site Document Controller you will be responsible for managing, processing, maintaining, retrieving, storing, and disseminating all records related to the management activities of all documents related to the construction of the Data Center. The document controller will also ensure documents and records meet criteria (format, identification, and approvals) specified by Microsoft Specification and related requirements. 

 

In addition, the Document Controller will be responsible for coordinating with General Contractors and vendors to correct any documents and records not meeting requirements relative to document deliverables. The document controller will prepare weekly reports and/or presentations documenting status of all deliverables required for successful turnover of the facility. 

 

You wll work directly for the Director of Field Operations. This leader supports the strategic and tactical delivery of data center projects.

Qualifications

Required/Minimum Qualifications:

  • Bachelor's Degree AND 4+ years experience in engineering, product/technical program management, data analysis, or product development.
    • OR equivalent experience.
  • 2+ years experience managing cross-functional and/or cross-team project.

Other Requirements: 

 

Ability to meet Microsoft, customer and/or government security screening requirements are required for this role.These requirements include, but are not limited to the following specialized security screenings: 

  • Microsoft Cloud Background Check: This position will be required to pass the Microsoft Cloud background check upon hire/transfer and every two years thereafter.

Additional or Preferred Qualifications:

  • Bachelor's Degree AND 8+ years experience in engineering, product/technical program management, data analysis, or product development
    • OR equivalent experience.
  • 6+ years experience managing cross-functional and/or cross-team projects.
  • 1+ year(s) experience reading and/or writing code (e.g., sample documentation, product demos).
Technical Program Management IC4 - The typical base pay range for this role across the U.S. is USD $117,200 - $229,200 per year. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $153,600 - $250,200 per year.

Responsibilities

 

  • Work closely with the project management team on all aspects of project schedule, document management and project delivery 

  • Develop and maintain the Document Management System by Microsoft specifications. 

  • Ensure proper document classification, sorting, filing, and proper archiving. 

  • Manage flows of documents in electronic form. 

  • Perform document quality check in accordance with document control procedures. 

  • Perform file backups to ensure proper storage and archiving of electronic registers. 

  • Ensure all documentation is accessible and able to be audited within a centralized document archive. 

  • Monitor document viewers and update as necessary. 

  • Ensure all documents are up to date. 

  • Collect and register all technical documents such as drawings and blueprints in the system. 

  • Keep other personnel updated on new document versions and maintain authorized access. 

  • Maintain confidentiality regarding sensitive documents. 

  • Establish and maintain record retention timelines. 

  • Take meeting minutes and log appropriately Assist in maintaining effective relationships with general contractors, subcontractors, vendors, manufacturers, and engineers.  

  • Coordinate meetings and activities of vendors, manufacturers and general contractors, concerning needed information.
