Titmouse is seeking an enthusiastic, service-oriented professional who enjoys welcoming and assisting people, ensuring their needs are met with attentiveness and who has a keen eye for detail in all administrative tasks.

The Hospitality/Office Assistant handles the primary function of hospitality with enthusiasm and always keeps in mind that they are representing the studio with clients, actors and other guests. The Hospitality/Office Assistant takes the time to prepare in advance and seeks opportunities to make guests comfortable and happy to be at Titmouse.

This is a full-time position that is onsite in our Burbank location 5 days/week.

KNOWLEDGE, SKILLS AND REQUIRED ABILITIES

    • 1-2 years of experience in Hospitality and/or as an Office Assistant, preferably in an entertainment, events or a creative environment.
    • Ability to be very personable as this role interacts with employees, visitors and VIPs on a daily basis.
    • Working knowledge of Google Suite (including, Gmail, Docs, Sheets, Forms).
    • Be detail-oriented with excellent organizational skills.
    • Excellent verbal and written communication skills.
    • Be able to prioritize tasks and manage multiple projects simultaneously, following through on issues in a timely manner.
    • Be flexible and adaptable.
    • Must have reliable personal transportation and be able to show proof of current vehicle insurance. (The studio reimburses mileage for work-related driving.)

ESSENTIAL DUTIES AND RESPONSIBILITIES

    • Guest Services and Events. Greet and escort talent, production VIPs and guests for records, exec meetings or events. Greet guests hospitably and with enthusiasm; be upbeat. Handle talent and exec needs when onsite, especially during records; print script copies if requested for recording sessions. Keep executive assistants and/or producers updated on the status of their requests. Order meals as needed for exec meetings or Operations events, deliver and set-up food, handle clean-up as needed. Assist with planning for parties and events: research vendors, coordinate logistics, order snacks/beverages and set up/clean up, send out email blasts. May need to work nights or weekends on occasion.
    • Stocking and Inventory. Help keep the studio organized and presentable at all times. Order and maintain inventory of supplies (office and kitchen), restock coffee/beverage and snack supplies and clean dishes in exec suite on a daily basis. Make coffee in all kitchens each morning, stock refrigerators and supplies in kitchens, conference rooms, edit rooms and recording booths throughout the building; keep shared workspaces clean and tidy.
    • Operations Support. Monitor Operations service tickets on a daily basis, prioritizing throughout the day. Notify Security of visitor, vendor and employee visits. Schedule conference room bookings via calendar invites. Cover for Security if they need to step away from the front desk. Participate in New Hire Orientations by giving the Operations team's virtual presentation during orientation along with other department representatives. Assist in onboarding process for employees. Conduct onsite tours for new hires and students, as needed.
    • Administrative Support. Deliver packages to execs and employees as needed. Review incoming mail and distribute accordingly. Run off-site errands as requested (for example, Costco, FedEx, food pick-up).
