Position Overview:

We are seeking a dedicated and detail-oriented Administrative & Office Specialist with a legal background to manage administrative, HR-related and office management scope of activities. This role combines organizational skills with legal expertise to ensure smooth and compliant office operations. The ideal candidate will handle documentation, HR administration, and communication with external institutions.

Key Responsibilities (but not limited to):

  1. Document Management (Archive)

    • Organize and maintain the company's archive and documentation systems (physical and digital).

    • Safeguard company records and ensure accurate storage and retrieval of documents.

  2. HR Administration

    • Prepare and issue various HR documents, including employment contracts, annexes, certificates, and resolutions for annual leave.

    • Create, organize and maintain the personal employees’ records.

    • Publish job advertisements and manage the recruitment documentation process.

    • Handle employee registration and deregistration with the Employment Agency.

    • Ensure compliance with labour laws and internal policies in all HR documentation.

    • Organize regular medical check-ups and trainings as needed (health and safety, fire wardens, first aid).

  3. Government and Legal Compliance

    • Communicate with government institutions and resolve issues related to labour and administrative compliance.

    • Prepare legal documentation and responses as required.

    • Stay updated on labour laws, ensuring the company complies to legal requirements.

  4. Office Support

    • Provide administrative support to the management and the employees.

    • Assist in resolving operational challenges related to HR and documentation.

Requirements:

  • Education: Degree in Law, Business Administration, or a related field.

  • Experience:

    • Minimum of 2 years of experience in HR administration or office management.

    • Legal or HR-related experience is preferred.

  • Skills:

    • Strong knowledge of labour law and administrative procedures.

    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

    • Excellent organizational and multitasking abilities.

    • Attention to detail and accuracy in handling sensitive information.

  • Languages: Fluency in Macedonian; proficiency in English is an advantage.
