The Corporate Real Estate and Workplace Services (CREW) group is dedicated to creating and maintaining a safe, efficient, and productive work environment, ensuring business continuity at all times. Our team manages all aspects of facilities operations, ensuring optimal functionality and comfort for all employees. We focus on strategic planning, maintenance, and service excellence, aiming to support the core business activities by providing a well-maintained and dynamic workplace. Through innovative solutions and a commitment to sustainability, CREW enhances the overall employee experience and drives organizational success.

As the site Workplace Service Professional, you will oversee the facility and manage the workplace, coordinating with vendors and service providers, and support various administrative functions to provide exceptional service to the leadership team and employees. This role also manages logistics for workplace events, meetings, and conferences, as well as handles food and beverage services, transport management, and office events. Additionally, they are responsible for space management, vendor coordination, contract renewals, and ensuring compliance with company policies and procedures. Vendor management, invoice processing, and payment coordination are integral aspects of this role, ensuring efficient financial processes and timely delivery of services.

What You Can Expect

Day-to-Day Operations Oversight:

  • Oversee day-to-day operations of the workplace, ensuring smooth functioning and efficient service delivery.
  • Coordinate with vendors and service providers to ensure timely and efficient delivery of services, including facilities management, catering, and transportation.

Onboarding and Induction Coordination:

  • Coordinate onboarding tasks and provide induction to new employees, ensuring a smooth transition into the workplace environment.

Event Planning and Coordination:

  • Plan and execute in-person company events, meetings, and conferences, including logistical arrangements and on-site coordination.
  • Evaluate event feedback and implement improvements for future events to enhance employee experience.

Meeting and Conference Logistics:

  • Coordinate logistics for meetings and conference calls, including meeting space, communications, and catering arrangements.

Administrative Support Collaboration:

  • Work closely with other administrative support team members to collectively ensure remarkable and seamless service to the leadership team and employees.

Space Management:

  • Allocate seats to business units and maintain site space tracking, providing utilization reports to the regional CREW manager.
  • Implement space software for the site and communicate with employees about the implementation process and booking procedures.

Food and Beverage Services Management:

  • Manage food and beverage services, including snacks, breakfast, and lunch at the office.
  • Collaborate with the food committee to finalize menus, provide timely feedback to vendors, and improve service quality.
  • Source new food vendors through trials and create special menus for office events to enhance employee experience.

Pantry and Supply Management:

  • Track, order, and maintain pantry consumables, soliciting feedback from employees to improve services.
  • Source vendors for office supplies (Stationery, printing, etc.), manage purchase requisitions, inventory management, and ensure timely processing of invoices and payments.

Transport Management:

  • Manage ground transport bookings for management and visitors, ensuring special requirements are met during delegate visits.

Office Event Support:

  • Support BU team in booking outings and assist HR team in managing office events such as Yearly Connect event, Marvell 5K, and Family days events.

Contract Management:

  • Renew contract agreements and raise requests for approval, working with the Legal team to ensure timely execution of contracts related to the site.

Travel Support:

  • Coordinate with Marvell Travel agents to provide travel support for employees, including booking hotels and arranging transportation.
  • Address any issues that arise during travel and provide timely feedback to the travel manager for necessary adjustments.
  • Work closely with the travel manager on the yearly renewal of hotel contracts to ensure optimal arrangements for employee travel needs.

Vendor and Invoice management:

  • Handle the receipting of all Vendor invoices within the Oracle system related to the site
  • Oversee tracking and managing invoices, ensuring accuracy and timeliness.
  • Provide support to resolve any invoice-related issues and discrepancies.
  • Disseminate payment details to vendors accurately and in a timely manner.
  • Address and resolve daily vendor payment issues promptly to maintain positive vendor relationships and ensure timely payments.

Workplace Management Ticket Management:

  • Handle all assigned tickets related to workplace issues submitted by employees in ServiceNow/Planon.
  • Update the status of open and closed tickets on a weekly basis, providing a summary report to the CREW regional manager.
  • Identify any tickets that are not being closed in a timely manner and require management attention, and work closely with the CREW regional manager to address and expedite closure.

What We're Looking For

Educational Qualifications:

  • Bachelor’s degree in business, business management, business administration, facilities management, or related field.  Equivalent work experience may be considered in lieu of a degree.

Experience:

  • Minimum of 3-5 years of experience in facilities management, office administration, or a similar role. 
  • Proven experience in vendor management, event coordination, and space management. 
  • Experience with workplace management software and systems (e.g., Oracle, ServiceNow).

Skills: 

  • Excellent administrative and organizational skills
  • Ability to clearly articulate issues, status, and solutions
  •  Excellent communication and interpersonal skills, with a focus on collaboration and teamwork.
  • Highly punctual, dedicated, and reliable, with a strong commitment to maintaining the highest standards of operational performance.
  • Demonstrated ability to troubleshoot and resolve issues related to office management.
  • Ability to adapt to changing priorities and handle multiple tasks efficiently in a fast-paced environment.

Knowledge: 

  • Understanding of facilities management principles and best practices. 
  • Familiarity with vendor contract negotiation and management. 
  • Knowledge of food and beverage service management within a corporate environment. 
  • Awareness of compliance and safety regulations related to office operations. 

Other: 

  • Ability to handle confidential information with discretion. 
  • Flexibility to work outside regular business hours when necessary for events or urgent matters. 
  • Strong commitment to providing exceptional service to employees and leadership.

Expected Base Pay Range (USD)

98,880 - 148,100, $ per annum

The successful candidate’s starting base pay will be determined based on job-related skills, experience, qualifications, work location and market conditions. The expected base pay range for this role may be modified based on market conditions.
