As an Administrative Assistant at Romero Games, you will play a crucial role in supporting the day-to-day operations of our dynamic work environment. The ideal candidate will be organized, detail-oriented, and communicate well. Knowledge and passion for games is a must.

What you will do:

  • Administrative Support

    • Manage the day-to-day administrative operations for senior leadership, including meetings, phone calls, correspondence, and calendar management.

    • Provide travel and accommodation booking services for leadership and other team members as needed.

    • Assist with creating documents and presentations for internal and external use.

    • Act as a critical interface between external partners, ensuring clear and professional communication.

    • Handle sensitive and confidential information with discretion and professionalism.

    • Coordinate procurement of goods and services, including office supplies, computer equipment, and vendor relationships.

  • Office and Event Management

    • Schedule and coordinate meetings, ensuring efficient use of time and managing logistics (room setup, audiovisual needs, catering, etc.).

    • Assist with organizing office events and team-building activities.

    • Support the planning and implementation of studio-wide activities.

  • Recruitment Coordination

    • Schedule interviews with prospective candidates, collaborating closely with hiring managers to ensure smooth scheduling and clear communication.

    • Provide timely updates and support to candidates throughout the interview process, including logistics, interview format, and follow-ups.

    • Ensure confidentiality processes are followed, such as ensuring NDAs are signed by interview candidates.

    • Contribute to recruitment process improvements and maintain recruitment progress reports for leadership.

What You Need to Have

  • Proven experience as an Administrative Assistant, Executive Assistant, or in a similar role (3+ years preferred).

  • Experience in recruitment coordination or a related role (2+ years preferred).

  • Excellent IT skills, including proficiency in Microsoft Office Suite and Google Workspace.

  • High level of initiative, self-motivation, and a proactive approach to problem-solving.

  • Strong organizational and multitasking abilities with an eye for detail.

  • Excellent written and verbal communication skills.

  • Ability to manage multiple tasks with varying deadlines in a fast-paced and dynamic work environment.

  • Commitment to continuous improvement and delivering high-quality results.

  • Familiarity with the games.

What Is Nice to Have 

  • Experience working in a creative environment or the gaming industry.

  • Player of FPS games and a passion for staying informed about industry trends.

  • Familiarity with project management tools and software such as JIRA and Confluence.

  • A solution-oriented mindset and ability to adapt to changing priorities.
