As Workplace Specialist, you will be responsible for promoting employee engagement and activities, managing the support benefits program and other workplace experience related services for our onsite, hybrid and offsite workers allocated to the Southam office. You will work closely with the Workplace Experience Manager and the rest of the Workplace team, to keep our Southam studio running smoothly and create thoughtful ways for employee connection.

We are seeking someone who is project oriented, has facilities maintenance / compliance experience, enjoys customer service, loves to be organised and obsessed with workplace experience. The role is full time office based at our Southam studio, although may require travel to our other EA UK locations.

Responsibilities:

  • Responsible for the safety, maintenance, compliance and overall appearance of the office; ensure workplace related issues or interruptions in service are rectified in a timely manner, updating internal stakeholders regularly on progress

  • Oversee and manage external supplier on-site operations; monitor adherence to maintenance schedules and SLA’s; provide regular feedback to the Workplace Experience manager

  • Understand and anticipate the needs of internal teams with disparate needs; proactively suggest possible improvements to Workplace Experience in order to better support the experience of our people located either on-site / off-site or Hybrid.

  • Maintain records across a broad range of workplace related topics, ensuring accurate data is accessible to stakeholders at-all-times

  • Apply best practice across all workplace activities; ensure adherence to company policies and report instances of non-compliance

  • Support the Workplace Experience Manager with planning, coordinating, estimating and scheduling of maintenance and building projects

  • Develop productive relationships with other internal support functions in order to provide a coherent and high-quality service to our people and local leadership

  • Understanding of financial mechanisms and the ability to apply EA's financial policies to budget forecasting and administration / Overseeing daily operational budget, Purchase orders and receipting.

  • Manage small to medium scale projects independently, such as desk moves, social events and maintenance and refurbishment activities

  • Responsible for purchasing a broad range of services, office supplies and equipment; maintain appropriate stock levels at-all-times; ensure projected spend remains within forecast

  • Providing administration support to the WE team, placing orders, managing incoming mail, greeting of visitors, new employee induction and familiarisation, managing incoming and outgoing parcels, office travel arrangements.

  • Large scale event management.

Skills and Abilities:

  • In-depth knowledge of a broad range of workplace, technical and support processes; comfortable working in a fast-paced environment and to very tight deadlines

  • Experience of managing Health and Safety & Fire Safety in a similar working environment.

  • Financial and business acumen

  • Minimum of 3 years’ experience in facilities management with either a mechanical or electrical background

  • Strong organization and planning skills: ensure on-time delivery, rigorous follow up. Prioritise tasks.

  • Client service: ensure a high-quality delivery to employees. Ability to balance employee’s requests with the company objectives.

  • Personal effectiveness: has a ‘can do’ mentality, self-assured, proactive, open and flexible. Has the confidence and credibility to advise senior management. Works effectively within a matrix Organisation and rises to the challenge of ambiguity.

  • Communication: able to establish effective relationships at all levels within the Organisation, initiate networks and proactively exchange information.

  • Proactive self-starter who needs little direction to initiate activities.

  • Excellent written and verbal communication skills; actively listens and questions; builds strong relationships through empathy and trust service orientated, with strong interpersonal skills (with at least 5 years’ previous experience in a client facing role delivering exceptional customer service)

  • Flexible and adaptable, with the ability to rise to new situations and challenges as we navigate the ‘new normal’ for workplace operations and hybrid working within an incredibly dynamic industry

  • Excellent organization and planning skills; ensure on-time delivery of work and rigorous follow up, with an ability to prioritize tasks and competing demands

  • Comfortable with autonomy and able to proactively self-manage workload

  • Exceptional eye for detail, completes all tasks to a high standard; demonstrable ability to anticipate issues and recommend solutions, escalating as needed

  • Able to resolve complex cost/expense activities and/or issues

  • Strong IT literacy with excellent understanding of Microsoft 365 and Google Suite tools and applications
