The Workplace Experience Coordinator in Krakow will support workplace operations and employee experience. Responsibilities include managing office supplies, collaborating with various departments (HR, IT, Finance), planning office events and team-building activities, managing event budgets, handling office logistics for workshops and visitors, and conducting new employee office tours. The ideal candidate will have at least 2 years of office coordination or administrative experience, strong organizational skills, proficiency in Microsoft Office Suite, Google Workspace, and Slack, experience with inventory management and procurement, knowledge of basic office safety procedures, and fluency in English and Polish. Vendor management experience is preferred.

Workplace Experience Coordinator

We have an exciting opportunity to join our Workplace Experience team in Krakow and are currently looking for a Workplace Experience Coordinator

In this role you will provide comprehensive coordination support for workplace operations and staff experience in the Poland office, ensuring smooth daily operations and maintaining a positive office environment.

Key responsibilities will include:

● Assist in daily office management to ensure a smooth work environment.
● Manage office supplies inventory, including overseeing inventory levels of stationary, equipment and office snacks.
● Collaborate with various stakeholders including HR, IT, Finance, leadership teams to align workplace experience initiatives with broader organisational goals.
● Plan and coordinate local office events, team-building activities and external team events such as offsite and End Of Year events.
● Track event budgets and process related invoices.
● Organise office logistics for workshops and visitors through Chillflex.
● Conduct comprehensive office tours for new employees, introducing facilities, safety procedures, and amenities, facilitate introductions to key team members and departments.

What you will bring to the role:

● Minimum 2 years of office coordination or administrative experience.
● Strong organisational and multitasking abilities.
● Proficiency in Microsoft Office Suite, Google Workspace, and Slack.
● Experience with inventory management and procurement.
● Knowledge of basic office safety procedures.
● Fluent in English and Polish.
● Experience with vendor management preferred.
