We are currently seeking an Assistant Facility Manager for a prominent food manufacturing client in Glenview, IL. About the Role:
As the Assistant Facility Manager, you will play a crucial role in overseeing the daily operations of the facility, ensuring it runs smoothly and efficiently. From managing janitorial services to coordinating maintenance programs and vendor compliance, your contributions will directly impact the facility's overall functionality and safety. This is an exciting opportunity for someone with a strong background in facility management, maintenance, and operations to bring their expertise to a thriving environment.

Key Responsibilities:

  • Oversee daily facility operations, ensuring alignment with company policies and procedures.
  • Review contracts and invoices for accuracy, ensuring compliance with agreed terms.
  • Supervise maintenance programs for both interior and exterior property conditions.
  • Address building maintenance, repair, and cleaning requests from occupants in a timely manner.
  • Maintain site-specific documentation, including operating manuals, emergency procedures, safety logs, and reports.
  • Assist in the preparation and reporting of budgets, focusing on maintenance, facility improvement, and cost-reduction initiatives.
  • Collect and analyze statistical data to support facility management objectives.
  • Ensure vendor compliance with insurance requirements and coordinate any claims as necessary.
  • Conduct facility inspections and report issues or concerns to the Facility Manager.
  • Provide general administrative support, including reception duties, ordering supplies, preparing spreadsheets, and assisting with other tasks as needed.

Required Qualifications & Experience:

  • Associate degree in Facilities Management, Business, or a related field (Bachelor’s preferred).
  • 3-5 years of relevant experience in commercial or industrial real estate, facility management, or similar fields.
  • Experience with maintenance, construction, engineering, or property operations is a plus.
  • Proficiency with CMMS (Computerized Maintenance Management Systems) is preferred.
  • Strong knowledge of construction specifications, blueprints, and building management systems.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Financial acumen, including experience with budgeting, forecasting, and financial tracking.

Preferred Certifications:

  • Certified Facility Manager (CFM) or other industry certifications from IFMA/BOMA.
  • Technical training or certifications related to facility management are a plus.

Physical Requirements:

  • Ability to travel between floors and buildings in varying weather conditions.
  • Ability to sit or stand for extended periods.
  • Frequent use of office equipment, including telephones, computers, and photocopiers.
  • Regular walking, talking, and hearing required.
