About the role

We are seeking an exceptional Senior Executive Assistant to join our Executive Support team and support some of our Engineering leaders.

  You will...

  • Partner with 2 C-level executives (the Chief Engineering Officer and the Chief Technology Officer) and provide lighter support to one VP of Engineering to handle administrative work for them
  • Identify ways that your executives can use their time better and things you can take off their plate or start on their behalf - acting as a true thought partner
  • Handle very lively, complex executive calendars independently, proactively clearing overlaps, offering solutions, assuring agendas are clear, etc.
  • Plan polished events for executives’ teams and guests, including but not limited to, off-sites, team building events, executive dinners, annual Engineering-wide Summit (400+ people), team celebrations, etc.
  • Help with drafting communications, owning follow-ups, taking notes, staying on top of action items, etc. (task management)
  • Conduct sophisticated travel planning, ensuring your leaders have everything they need for smooth travel (this could include hotels, flights, Visas, passport renewals, liaising with embassies, etc.)
  • Act as a mentor to more junior Executive Assistants on the team
  • Provide occasional personal work support to our CTO / co-founder, which could take about 10-15% of your time
  • Provide back-up for other Executive Assistants, as needed

  You have...

  • An exceptional ability to build trusting, strategic relationships with many types of people in a variety of roles, especially executive leadership
  • Outstanding ability to act reliably by solving problems proactively and prioritizing time and tasks
  • Outstanding attention to detail, especially as it relates to handling calendars and written communication
  • Tech-savviness - you like to learn and work with technology
  • Resilience to navigate challenging priorities and constant change
  • True enjoyment from helping others and building a strong office environment
  • Excellent communication skills (both written & verbal), the ability to read between the lines and provide tailored updates to your supported leaders and fellow Executive Support Team

  Requirements...

  • A minimum of 10 years of experience as an Executive Assistant
  • A significant amount of time providing executive support in a 2:1 ratio or smaller, providing support to executives with large teams, and working at a tech or fast-paced company
  • Experience planning 10+ complex, executive-level events, including for 100s (or more) people
  • Proficiency in G-suite, Slack, Zoom, and Mac
  • Ability and desire to work in our Pittsburgh Duolingo office Tuesdays, Wednesdays, and Thursdays (with the option to work from home on Mondays and Fridays)

  Exceptional candidates will have...

  • Experience supporting technology execs and/or c-level execs
  • Passion for language learning or education
  • Super admin experience with Google Suite
  • Experience collaborating with executives who are not colocated with you
  • Qualification as a notary
