The Product Project Coordinator will facilitate collaboration between On Location's Olympic Commercial Hospitality teams for Milan 2026 and LA 2028. Responsibilities include assisting with organizational and administrative tasks, supporting product build and management in proprietary and third-party systems, working with sales, inventory, ecommerce, operations, and guest services teams. The role requires maintaining knowledge of Olympic product offerings, internal workflows, and technologies; defining project management processes; identifying and escalating roadblocks; documenting meeting notes; and building relationships with internal and external teams. The coordinator will also support team leads with projects and presentations.

What You’ll Do: 

This Product Project Coordinator is primarily responsible for facilitating collaboration across the On Location Olympic Commercial Hospitality Milan 2026 and LA 2028 teams. The coordinator will do so by assisting with organizational and administrative tasks with a focus on project management. They will also support the build and management efforts of products in proprietary inventory management systems and 3rd party tools. The coordinator will work closely with their manager and other Olympic teams to support needs related to product sales, inventory management, ecommerce solutions, event operations, guest services, and more.

Responsibilities: 

  • Maintain continuous knowledge of Olympic product offerings, internal workflow process, and technologies. Raise awareness and propose solutions related to gaps in processes and lack of team collaboration. 

  • Support and define processes related to our project management system(s).

  • Increase awareness and education amongst the product teams on project management processes and best practices.

  • Assist in creating and developing new processes that identify opportunities to streamline procedures that directly impact productivity.

  • Establish notification processes with teams to ensure that projects are progressing and that high level updates are being reported to leadership.

  • Identify, understand, and escalate systematic roadblocks for product and other functional areas.

  • Maintain accurate records of meetings notes, action items, gather agenda items, and keep meetings on schedule.

  • Establish and maintain working relationships with internal and external functional teams.

  • Develop a knowledge of our proprietary inventory management system, and other 3rd party tools to support with day-to day product management as needed.

  • Support team and department leads with additional projects and presentations. Execute all other duties assigned by the team or leadership.

  

You Have These

  • Experience in project management and the ability to define a project's goals and scope, document project tasks, and ability to follow up with individuals for continuous updates and completion of tasks.

  • Success in identifying and mitigating risks that could impact a project's successful delivery.

  • Experience in identifying gaps in our processes, communication, or documentation.

  • Excellent time-management and organizational skills.

  • Exceptional interpersonal skills – a collaborative style and ability to communicate effectively at all levels with strong oral, written, and presentation skills.

  • Keen attention to detail.

  • Eagerness to collaborate and contribute positively to the team's objectives

We’d Love If You Also Have These:  

  • Background in product management or development.

  • Experience in the sports ticketing and/or hospitality industry.

  • Enthusiasm for learning and adapting to new tools and technologies.

  • Exposure to inventory management systems, and data analysis.

  • Experience with Airtable, One Note, and Excel.

  • An investigative mindset and experience working collaboratively to find new solutions.

  • A passion for creativity, solutions, and an entrepreneurial spirit.

 Travel:

Must be adaptable with work and travel schedule and be available to travel for work which may include extended work hours during nights, weekends, and holidays. International travel may be required. Expected travel <5%.
