An HR Assistant is responsible for providing HR administration and support to all pillars within the HR Department, including HR Operations, Culture and Engagement, and Talent Acquisition. The ideal candidate should have the outstanding task management and prioritization skills, and a basic knowledge of local employment laws and legislation. Ultimately, should be a problem solver that pays attention to detail and displays effective communication skills.

Job Responsibilities:
HR Operations:
- Assist end to end HR Operations excellence in an effective and efficient manner including employee lifecycle, leave and attendance management, expats management, compensation and benefits, performance management, contract renewals, HR reporting etc.
- Assist in managing seamless employee lifecycle from hire to retire, updating the employee file and information accurately, ensure documentation are updated and kept with the highest level of confidentiality and integrity via HRM and Benefits System.
- Manage the registration of employee's benefits and ensure its timeliness and accuracy.
- Assist in monitoring and processing expenses and reimbursements.
- Assist in coordinating new and existing expatriates on application, renewal and cancellation of Employment pass.
- Maintain current HR files and databases in HR Server.
- Assist in maintaining HR records and information in HRIS (Bamboo HR)
Talent Acquisition:
- Assist end to end Talent Acquisition excellence in an effective and efficient manner including studio and school visits, career events, showcases, and exhibitions.
- Assist end to end hiring processes such as coordinating interviews, liaising with recruitment agency, compiling documentation etc.
- Coordinate communication with candidates and new hires.
- Assist in coordinating new joiners' orientation, ensuring a smooth pre-onboarding process.
- Assist in updating the Applicant Tracking System (ATS), coordinate background verifications aligned with the process and manage follow up communications.
- Assist in writing up job description and posting job openings.
- Foster and maintain professional relationships with the team and stakeholders.
HR Culture & Engagement:
- Assist end to end Culture and Engagement excellence in efficient and effective manner including culture events, industrial relations and learning and development.
- Assist in coordinating learning and development activities, disciplinary meetings as well as culture events.
- Ensure all related records are in accurate manner and well maintained.
- Ensure all relayed documentation are well updated in HR Server and HRMS.
Other HR related duties:
- Perform administrative duties, such as maintaining employee database and sorting emails for the HR Department and assist to coordinate HR meetings.
- Assist in coordinating HR projects and HR meetings.

Job Requirements:
- Professional Certificate, Diploma / Advanced / Higher / Bachelor’s degree in Human Resource Management, Business Administration or equivalent.
- Well versed in Microsoft Office software, HRMS software and Employment Act 1955.
- Positive attitude, self-starter and adaptable to change in fast paced environment.
- Excellent administrative, organizational skills and communication skills.
- Organized, accurate, thorough and detail oriented.
