The Executive Assistant manages the daily calendar, schedules meetings, arranges travel and accommodations, handles expense reports, prepares reports and presentations, manages relationships with travel agencies, and plans department events. Responsibilities include administrative support, PO creation, T&E control, and maintaining confidentiality. The ideal candidate will have 3-5 years of experience in a similar role, proficiency in Microsoft Office Suite and advanced English, strong communication skills and attention to detail.

How you will contribute to our magical experience?:

The Executive Assistant will be responsible for: 

  • Manage and arrange day-to-day calendar management, scheduling, agendas, calls and meetings 
  • Manage the daily calendar arrangements. Arrange travel, accommodations, itineraries and handle expense reports with related areas. 
  • Perform administrative and area support including preparation, writing/consolidation of weekly/monthly reports, Purchase Orders, T&E control and PowerPoint presentations. 
  • Manage the relationship with AMEX Global Travel. 
  • Maintain professionalism and exercise discretion when interfacing with direct reports and other areas. 
  • Plan, organize and implement department events, meetings, and employee meeting activities or special projects. 

What we need from you to be part of this story:

  • Required experience: 3 to 5 years in similar positions. 
  • Proficiency in Microsoft Word, Excel, Database Management, PowerPoint, Keynote and Outlook. 
  • Advanced level of english. 
  • Experienced execution of administrative activities, with high attention to detail, organization and process. 
  • Strong written and verbal communication skills. 
  • Discretion and ability to handle confidential information with professionalism.
