We are on the lookout for an enthusiastic and detail-oriented Office Coordinator to join our team. In this essential role, you will be the heartbeat of our office, ensuring everything runs like clockwork while cultivating a welcoming and inspiring environment for all employees.
You will play a crucial part in enhancing the workplace experience by collaborating closely with our People & Culture team across multiple locations. Your contributions will not only support daily operations, but also enrich our organisational culture through innovative solutions and thoughtful engagement initiatives.

Responsibilities:
- Be the First Point of Contact:
- Assist with onboarding and offboarding processes
- Help new joiners adapt to the office environment by greeting them with a smile and preparing welcome packs, probation giveaways, anniversary gifts, and virtual cards
- Provide employees with lockers and maintain an up-to-date locker system
- Maintain a daily presence in the office from 8 AM to 5 PM.
- Administrative Support:
- Perform general office tasks such as managing emails, meeting room bookings, and also handling incoming/outgoing mail and other correspondence
- Assist with booking travel arrangements, including flights, taxis, hotels, and the company apartment
- Coordinate arrivals and departures in the company apartment
- Handle all office-related invoices, ensuring timely payments are made
- Manage petty cash flow
- Create and share sign-up sheets and posters for events and office meals
- Event & Activity Coordination:
- Brainstorm and collaborate with the Culture team to organise fun and engaging events
- Maintain an eventful yearly events calendar for the office
- Vendor & Supplies Management:
- Be the first point of contact for vendors and build new business relationships
- Keep track of office supplies, place orders, and ensure the workspace is cosy and functional
- Facilities & Maintenance:
- Proactively maintain high standards in the office and conduct routine checks to ensure safety and security
- Work closely with the Housekeeping team and other contractors to manage day-to-day office and facilities tasks
- Schedule preventive maintenance and repair appointments and recommend improvements to the Facilities Manager
- Health & Safety:
- Assist in ensuring compliance with health and safety policies
- Respond appropriately to emergencies or urgent issues
- Coordinate company-provided training courses for staff
- Team Support:
- Provide administrative support for internal departments and special projects
- Support the People Operations team with various tasks
- Manual Handling:
- Occasionally lift, carry, push, or pull office supplies and equipment
- Perform minor tasks like setting up and rearranging office furniture and equipment
- Follow safe lifting practices to prevent injury
About you:
- At least 2 years of experience in a similar role
- Previous experience in event management
- Qualification in Health & Safety Management is considered an asset
- You have a warm and welcoming personality
- Excellent time management and organisational skills are your strengths
- You are proficient in Google apps and adept at internet searches
- You possess strong communication skills
- You are self-motivated with robust problem-solving abilities
