Description

As a Media Billing Coordinator at Drake Cooper, you will manage the billing process for media buys, ensuring that all invoices are accurate, reconciled, and processed on time. You will work closely with the media planning, buying, and finance teams to track media expenditures, manage discrepancies, and support smooth financial operations within the agency. This role is essential to ensuring the accuracy of client billing and maintaining strong vendor relationships.

Key Responsibilities:

  • Prepare, process, and partner with the Finance and Media teams to promptly send media prebill and reconciliation invoices to clients.
  • Review and reconcile media buys with vendor invoices, ensuring accuracy and addressing discrepancies. This includes working with internal teams to understand any differences completely and ensure media spending will pace out to budget or if it needs to be reviewed by the client. 
  • Coordinate with media teams to resolve billing issues or discrepancies related to vendor invoices.
  • Ensure all media invoices are coded properly and match purchase orders and contracts.
  • Monitor and track all media spending, ensuring it aligns with client budgets and contracts. 
  • Provide monthly billing summaries and financial reports for internal teams and client communications.
  • Serve as the point of contact for media vendors regarding billing inquiries, ensuring timely and professional communication.
  • Work with the media planning and buying teams to verify media placements and costs. This includes setting up new media vendors and new clients. 
  • Enter and maintain accurate media billing data in agency software systems.
  • Ensure that all financial and billing records are organized and maintained in compliance with agency policies.
  • Identify and recommend process improvements to streamline billing workflows.
  • Stay updated on industry best practices related to media billing and financial reporting.

Skills & Qualifications:

  • 2+ years of experience in media billing, accounting, or a similar financial role.
  • Strong proficiency in media billing software, ERP systems, and Microsoft Excel.
  • Excellent attention to detail with strong organizational and analytical skills.
  • Strong communication skills, both written and verbal, with the ability to work cross-functionally.
  • Prior experience with an advertising or media agency is a plus.
