Events Project Manager, Global Events

Your role within our Kingdom

We are seeking a skilled Events Project Manager to be responsible for managing and delivering live and virtual/hybrid internal events for our global King offices. These events include webinars, team building, site celebrations, employee onboarding, team meetings and off sites, seminars, and conferences.

You will work closely with event partners to plan and deliver memorable, engaging and cost-effective experiences to our employees while ensuring that all event requirements, timelines, and budgets are on track.

Core responsibilities:

• Project manage multiple hybrid/virtual and live events at all levels from end to end, involving internal and external audiences, as well as senior management teams.
• Develop project plans and define project tasks, timelines, and resource requirements as needed. Handle day-to-day event logistics, collaborating closely with partners to ensure tasks are on schedule.
• Provide direction and support to colleagues to improve cross-functional work, build event planning efficiencies, and act proactively to mitigate any risk and reduce setbacks.
• Manage technical aspects of hybrid/virtual events such as webinars, video conferences, livestreams, online team buildings, and celebrations.
• Handle event budgets, ensure cost control, and reconcile project invoices and event final cost reporting.
• Source and manage suppliers - Review and negotiate contracts. Identify new preferred partners and cost-efficient opportunities. Actively manage our internal database and ensure vendor details and factsheets are filled and tracked within established timelines.
• Provide expert direction throughout each project to meet event expectations and support partners with event content production and copywriting whenever requested.
• Coordinate the set up and execution of assigned events, providing assistance on-site when required.

Skills to create thrills:

We're looking for an enthusiastic hands-on professional who understands promotion and contract negotiation techniques, with excellent interpersonal and organisational skills. You should have significant experience working as an event project manager for live / virtual / hybrid events. In addition, you will have:

• Excellent knowledge of project management principles and tools.
• Good understanding of virtual event technology.
• Capacity to manage high-stress situations and to handle various projects simultaneously.
• Self-starter who enjoys working in an innovative, fast-paced environment.
• Capacity to think creatively, adapt flexibly, and approach challenges in unexpected ways.
• Ability to produce content for abstracts, presentations, and copywriting.
• Ability to communicate clearly and concisely (written and verbal) – highly proficient in English.
• Collaborative orientation with a strong regional cultural awareness, making you a great teammate.
• Good knowledge of local event suppliers and strong negotiation skills.
• Strong working knowledge of Google tools and Microsoft Office, in particular Excel, PPT, plus Photoshop/Illustrator.
• Familiarity with travel requirements and travel registration tools.
• Ability to assist physically in event set up and breakdown. Travel is required.
• Flexibility is a must. Being adaptable to meet the changing needs of the business.
