Role Overview

The company is seeking a Jira Administrator/Project Coordinator to manage and coordinate the implementation of tasks across various teams. This role requires overseeing projects to ensure timely, within-scope, and on-budget delivery, primarily using JIRA for ticketing and project tracking. The Jira Admin/Project Coordinator will work closely with cross-functional teams, facilitating communication and ensuring the smooth execution of projects.

Responsibilities

  • JIRA Configuration and Administration:
    • Creating JIRA projects for new customers based on Statement of Work.
    • Creating JIRA project plans for new customers based on Statement of Work.
    • Managing project workflows using JIRA, including creating, assigning, and tracking tickets across multiple teams.
    • Implementing and maintaining JIRA configurations to optimize workflows and user experience.
    • Monitoring JIRA for any blockers or delays and proactively addressing them.
    • Identifying opportunities to improve JIRA workflows and processes.
  • Project Support and Collaboration:
    • Collaborate with internal teams and stakeholders to ensure project tasks are completed on time within JIRA.
    • Oversee the day-to-day progress of projects and ensure alignment with the overall project timeline within JIRA.
    • Facilitate communication between teams, ensuring all parties are aware of project status and any issues that arise through JIRA.
    • Provide regular updates to stakeholders on project progress, risks, and issues within JIRA.
  • User Roles and Permissions:
    • Managing user roles and permissions in a JIRA cloud instance, including the creation, modification, and assignment of permissions.
    • Ensuring that team members have the correct access without compromising security.
    • Handling complex permissions setups, such as managing permissions for multiple teams with varying levels of access or implementing role-based access control (RBAC).
  • Workflow Creation and Management:
    • Creating and managing workflows for JIRA projects, including identifying workflow requirements, designing transitions and statuses, and configuring automation.
    • Customizing JIRA workflows to meet the unique needs of implementation teams, including addressing any challenges that may arise.
  • Project Configurations:
    • Managing JIRA project configurations across multiple projects, maintaining consistency and scalability while allowing for project-specific customizations when needed.
    • Implementing best practices for managing project templates, issue types, and other configuration settings.
  • Dashboards and Reports:
    • Creating or optimizing JIRA dashboards or reports for implementation teams.
    • Ensuring that the data presented in dashboards and reports is actionable and aligned with the team's objectives.
  • Integrations:
    • Managing integrations between JIRA and other tools (e.g., Confluence, GitHub, Slack) in a cloud environment.
    • Setting up and troubleshooting integrations to improve efficiency and collaboration for the team.

Requirements

  • Minimum 2 years of experience in project management or coordination.
  • Proficient in JIRA for project management and ticket tracking.
  • Strong organizational and communication skills.
  • Ability to manage multiple projects and meet deadlines.
  • Systems-oriented and detail-focused.
  • Fluent in conversational English.
  • Bachelor's degree required.

Preferred

  • Experience working with cross-functional teams.
  • Familiarity with Agile or Scrum methodologies.
  • Problem-solving mindset: seeks independent solutions to challenges.
