Job Summary:

Job Role:

The Specialist role for the General Administration Division at Walt Disney Attractions Japan is responsible for inbound and outbound travel arrangements.

The position will be a one-year contract with possible full-time employee renewal up to a total of three years.

Job Responsibilities:

・Outbound Travel Services

Provide efficient travel service arrangements which include the following:

1. Receive travel requests by email or verbal communication in English from all employees.  The requests include securing flights, hotels, car rentals, hired cars and train tickets for domestic and overseas travels

2. Read and understand company policy and work with the accounting team that the request is aligned with the company policy.

If the request is outside of the policy, communicate with the requestor to revise as necessary

3. Inform the Disney contracted travel agency the details of travel by email or through verbal communication

4. Book travel using agency online tools when appropriate

5. Arrange Disney hotel bookings through the US travel team by email or verbal communication

6. Provide thorough support in case of emergency or case of unexpected events during employees’ travels.  The need for the support may extend to overtime work hours

7. Request/negotiate with the insurance agency for insurance coverage in case of an accident

8. Submit a travel list to the insurance company annually

・Inbound Travel Services

1.Arrange hired car for executives

2. Arrange hotel and answer their requests including restaurant reservations

3. Drive within and around the Tokyo Disney Resort area as required.

4. Provide thorough support in case of an emergency or case of unexpected events during employees’ travels.  The need for the support may extend to overtime work hours

5. Be ready to work early in the morning and late at night depending on the traveling executive’s schedule

Additionally, if business needs indicate, he/she will support CSR in the following areas:

・Help to execute the Disney VoluntEARs program and Global CSR programs

・Support the review of the OLC’s CSR program

Required Skills:

  • Strong communication and coordination skills to work with internal and external resources. Be able to collaborate with cross-functional and diverse teams.

  • Excellent written and verbal communication skills in both English and Japanese.

  • Strong interpersonal skills, and the ability to build, maintain, and manage relationships internally and externally.

  • Strong organizational skills and attention to detail. Ability to track and organize a large volume of data and tasks.

  • Ability to multi-task and prioritize deadlines/deliverables.

  • Ability to track and complete work from planning to completion.

  • A proactive self-starter with a positive demeanor and a can-do attitude.

  • Flexibility to change arrangements as needed.

  • Proficient in Microsoft Office suite

  • Experience in the travel industry or arranging travel requests

  • Valid Japanese driver’s license and willing to drive on a daily basis

Preferred Qualifications

  • Valid University degrees or equivalent

  • At least 3 years of working experience in a multi-national environment or a related field.

  • At least 3 years of travel industry experience or highly experienced in travel arrangements.
