The Workplace Operations Coordinator in Warsaw will support the exceptional experience for all Netflix stakeholders. Responsibilities include managing workplace inspections, maintaining quality, collaborating with vendors, coordinating repairs and maintenance (HVAC, utilities, etc.), supporting office moves, and managing small construction projects. The role requires strong communication skills, vendor management experience, problem-solving abilities, and the ability to multitask in a fast-paced environment. Additional responsibilities include supporting Health and Safety projects, fire drills, and collaborating with the Workplace Experience team on sustainability initiatives.

We are looking for a Workplace Operations Coordinator to be based in the Warsaw Office. This role reports directly to the CEE Workplace Manager.

Job responsibilities include:

  • Supporting the exceptional experience for all stakeholders, including staff, visiting employees, new hires, guests, and interview candidates.

  • Carrying out workplace inspections

  • Monitoring and upkeep of constant quality at the workplace throughout the day, ensuring facilities matters are resolved in an efficient and timely manner

  • Working collaboratively with the landlord and vendors to ensure all necessary planned and preventative maintenance is undertaken, aiming to minimise downtime within the workplace

  • Coordinating MEP maintenance by monitoring internal BMS and cooperating with building technicians.

  • Coordinating day-to-day workplace activities of general repairs and maintenance including HVAC, utilities, pest control, janitorial, waste management, furniture, and equipment set-ups, parking spaces coordination

  • Providing  metrics around reactive maintenance works (qty, cost, time)

  • Supporting office moves along with the MAC (moves, adds, changes) and S&O teams and coordinating decommissioning process 

  • Supporting small construction/build projects executing smooth transitions from start to finish, ensuring BAU (business as usual) experience for the employees

  • Coordinating a relationship with related vendors, maintaining strong communication, and finance process for the workstream using Workday 

  • Promoting a high level of satisfaction among staff by promptly responding to their service requirements. Ensure the same level of service from team members and Workplace vendors.

  • Working collaboratively with cross-functional partners and immediate team members to support the delivery of service excellence, continuously evaluating existing processes to identify areas for improvement. 

  • Ability to collaborate across region sharing and leveraging ideas

  • Assist with Health and Safety projects within the office, including maintaining all relevant equipment, co-running information sessions with new employees, arranging ERT (Emergency Response Team) training, etc.

  • Working with the Landlord to coordinate fire drills and organise preventative maintenance on fire systems and the building-owned equipment. Working with Vendors to ensure Netflix-owned fire protection equipment is maintained properly and in a timely manner.  

  • Being  part of the Emergency Response Team (first aid and fire warden training will be provided)

  • Collaborating with the Workplace Experience Manager with staff engagement and Workplace communications.

  • Working with external vendors and Workplace Experience team members to actively improve and promote our sustainability performance.

  • Supporting Workplace Management and Experience teams on an ad-hoc basis as well as other EMEA Workplace teams.

Requirements:

  • Experience in a similar position for a minimum of 3 years.

  • Good verbal and written communication skills in Polish and English.

  • Knowledge of Statutory compliance and best practice maintenance.

  • Proven history of managing vendors through performance monitoring including finance management.  

  • Experience in space planning would be considered an advantage.

  • A team player of an approachable and social disposition, with the ability to maintain successful relationships with all internal and external stakeholders.

  • Exceptional interpersonal and communication skills, to communicate on all levels from vendor management to VP.

  • Customer service focused, with the ability to demonstrate innovation and drive.

  • Self-motivated and proactive, with confidence in knowing when to make a decision, and when to seek further clarification.

  • Demonstrable problem-solving skills, with the ability to exercise excellent judgement in reaction to the current and future needs of the workplace. 

  • Accustomed to multitasking in a fast-paced creative environment, with strong attention to detail and excellent organisation skills.

  • Flexible attitude and willingness to sometimes work outside of the usual office hours.

  • Knowledge and proficiency with Gmail, Google Docs, etc.
