Secretary V Global Security

Do you have deep experience supporting a very high-level executive? Are you known for keeping your cool under pressure? Can you interact with the most senior levels of management? If you’re nodding your head, then a Senior Executive Support Professional position in Global Security at The Walt Disney Company might be right for you. Be A Part Of The Story! This position supports several Directors on the Global Security team.

Our team is responsible for providing a safe and secure environment for our employees, our guests, our content, our properties, and our brand. As a Secretary V, you will be responsible for the day-to-day workings of the leaders you support. It goes without saying that there will be expense reports, travel planning, hundreds of emails, and endless calendar jockeying, but this job is very much about people. The relationship you form with the executives you support is absolutely critical because that’s what enables you to become a true partner. In addition to understanding your executive’s business -- and business needs -- inside and out, you’ll also need deep knowledge of the leadership and workings of The Walt Disney Company. As the “face” of your executives within The Walt Disney Company, your professionalism, loyalty, and attitude reflect the office, and as such, are a key component to its success.

Every day as an Executive Support Professional is different! On any given day you might:

· Manage multiple high-volume calendars including managing international calls/meetings. This will include building-in time for things like traveling to their next meeting

· Create a multi-city travel itinerary, considering time zones, weather delays, traffic, and fatigue levels

· Interface directly with other senior executives and their support teams

· Ability to work well and collaborate with people on all levels

· Understand the day’s priorities so you can be strategic about managing daily tasks for both you and the executives you support

· Schedule conference rooms, meetings, and video chats

· Be ready to throw the entire schedule out the door when an emergency comes up, then pick it up again when the dust settles

· Handle extremely confidential, sensitive information, remembering that Disney is a publicly traded company

· Assist with onboarding new employees. You will be the “friendly face” they count on to answer questions, including some who are extremely senior in the organization

· Act as “casual buyer” of all office supplies for the department, and manage purchase orders, vendor contracts, and travel expense reports

· Prepare regular reports and summaries of investigative reports for executive management.

· Collaborate on projects by conducting research, writing, and fact-checking

· Mentor and train younger support professionals in hard skills like TWDC computer programs and systems, and soft skills like teamwork customer service.

· Plan and execute high-profile, complex events like global meetings, training and offsites for both internal and external collaborative partners.

· Monitor and track significant team events and dates, to include preparing and managing smaller-scale gatherings such as service recognition parties

· Coordinate facility maintenance and office logistics

What you will need to succeed…

· 2+ years of experience in an administrative role providing direct support to leaders or executives

· Sharp written and verbal communication skills, including flawless grammar and a rich vocabulary

· Desire to immerse yourself fully and learn all aspects of your executive’s business

· Ability to multi-task and prioritize deadlines/deliverables

· Strong proficiency with all types of computers, phones, and office equipment, as well as mastery of Microsoft Office programs, SAP, Confluence, Concur, and working in a Windows environment

· A calm head and steady hand to deal with the unexpected “EQ” skills to build bridges, forge alliances and encourage people to want to work with you

· Complete reliability in handling confidential, often extremely sensitive information

· Desire to truly be helpful to your leaders and co-workers, to go the extra mile without being asked

· Some flexibility in your schedule – we value work/life balance, but in support of investigative and reactive teams, you may be called upon for occasional night and weekend work

· Extraordinarily strong organizational skills and extreme attention to detail

· A highly professional demeanor, positive outlook, and a can-do attitude

It would be a plus if you had these skills…

· Prior experience supporting an executive or several executives at the Director level or above Experience at The Walt Disney Company

The hiring range for this position in Glendale, California is $50,700 to $67,900 per year based on a 40 hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
