The Facilities Maintenance Administrator at Warner Bros. Studios, Leavesden will coordinate administrative functions to ensure an excellent experience for all stakeholders. Responsibilities include managing tenant/client requests, coordinating planned maintenance, monitoring facilities systems, and using Facilities Management software. The role involves assigning tasks to maintenance teams and contractors, handling permits and inquiries, ensuring UK legislative compliance, and maintaining a high professional standard. Daily reporting to the Facility Coordinator, responding to help desk requests, job input and allocation, managing out-of-hours electrical cover, fuel management, contractor booking and inductions are also key responsibilities.

Your New Role

As a Facilities Maintenance Administrator you will work as part of a team coordinating administrative functions to provide an excellent experience for all stakeholders including clients, colleagues, contractors and all staff. This includes managing the receipt of tenant/client and colleague requests, coordinating planned maintenance, and monitoring Facilities systems. Recording information in Facilities Management software and assign tasks to maintenance teams and contractors. Handle permits, inquiries, and quick work instructions, ensuring compliance with UK legislation and WBSL values.

Your Role Responsibilities

  • Always maintain a high professional standard in customer-facing environments and be customer-centric.
  • Report all building matters daily to the Facility Coordinator.
  • Respond to help desk requests via email, telephone, radio, and other media platforms.
  • Input all jobs into the system, including updates and closeouts once completed.
  • Allocate daily jobs to the maintenance team and third-party contractors.
  • Coordinate out-of-hours electrical cover for productions.
  • Manage fuel and book contractors to ensure building compliance.
  • Handle contractor bookings in the WBSL security access system and conduct inductions and NDA checks.
  • Perform general administration and office tasks, ensuring all relevant documents are ready and available.

Qualifications & Experience

  • Strong organizational skills and ability to work proactively in a fast-paced environment, with stakeholders within and external to the organisation.
  • Excellent interpersonal skills, with strong verbal and written communication.
  • Highly IT Literate ideally with experience using CRM or Building Management software
  • Full UK Driving License
Onsite Working - This role is advertised as Onsite, meaning all working hours and days (regardless of shift pattern) will be carried out at the place of work. Subject to any applicable laws, WBD / your Line Manager reserves the right to change this working agreement, where this is essential to business needs and upon reasonable notice to you.
